




**Legal and Administrative Assistant** **Location: Arboledas, Querétaro.** Key Responsibilities * Management, organization, and safeguarding of physical and digital documents and files. * Compilation, review, and updating of files for governmental procedures and private security matters. * **Drafting, reviewing, and preparing official letters, legal submissions, responses, correspondence, and administrative documents addressed to authorities and clients.** * Physical and/or digital submission of files to administrative authorities (Querétaro, Mexico City, State of Mexico, and, when required, other states). * **Administration and follow-up of legal and procedural projects** (tracking stages, pending items, responsible parties, and key deadlines). * Follow-up and direct contact with authorities to ensure continuity of procedures. * Coordination of signatures with clients and legal representatives. * Monitoring of deadlines, key dates, and the legal department’s activity schedule. * Client service via WhatsApp, phone calls, and email, ensuring **effective, clear, and professional communication**. * **Timely follow-up with clients**, reporting progress and addressing questions or issues. * Preparation of progress reports and updating of internal databases and CRM. * Support in general administrative tasks related to files and legal department activities. * **Active participation in resolving operational or procedural issues**, proposing alternatives and escalating incidents. Requirements **Education:** * Bachelor’s degree in Law (graduated or final-year student), Criminology, or related field. **Technical Knowledge:** * **Experience drafting official letters, legal submissions, and responses addressed to authorities.** * Basic knowledge of administrative procedures or administrative law (preferred). * Proficiency in Microsoft Office (Word, Excel, PDF) and email. * Basic experience with CRM or project tracking systems (preferred). **Experience:** * Experience in **legal file or documentation management** and/or **administration of legal or administrative projects** is preferred. * Client service and follow-up experience is valued. Location, Schedule, and Mobility * **Workplace:** Office located in **Arboledas neighborhood, Santiago de Querétaro, Qro.** * **Schedule:** Monday to Friday, 8:30 AM – 6:00 PM (on-site). * Must reside in Querétaro and **have no issue commuting daily to the Arboledas area**. * Availability to travel to government agencies in **Querétaro**, and, when required, to **Mexico City, State of Mexico, Guanajuato, or other nearby states**. * Per diems provided for travel outside the state or metropolitan area. * Public transportation support for specific off-site assignments. * Driving ability preferred; if you own a vehicle, fuel support is provided for client and authority visits. Employment Structure and Compensation * Initial arrangement: **Professional fee-based contract**, initially. * Monthly salary: **MXN $11,000 gross.** * Growth: Opportunity to transition to **direct payroll employment**, based on performance and short-term results.
