**WAREHOUSE ADMINISTRATIVE ASSISTANT / SUPPORT IN QMS** The person in charge of this position will provide administrative and operational support, as well as assistance in complying with the procedures of the quality management system. Helps coordinate processes, manage required documentation, and ensure efficiency in daily operations. Functions and responsibilities * **Office management:** Answer calls, manage administrative matters related to distribution, storage, and delivery of supplies. * **Organization:** Maintain and update physical and digital files, databases, and records; assist the operational warehouse supervisor in all administrative tasks requested, especially when there is excessive workload, vacation days, incapacity, or absences. * **Communication:** Draft and edit documents, reports, presentations, and other internal and external communication materials. Example: Monthly EXCEL control of deliveries of Express Patch and emulsion from Laboratorio Dinamo (Municipality of Zapopan). * Control of finished products delivered by production to warehouse: including labeling, inspection of containers, cleanliness, counting received materials, corresponding STOCK in ERP, signing and filing the format. * **Supply control:** Manage inventory of materials and place orders when necessary. Example: Prepare and control monthly Salamanca review report. * **Accounting tasks:** Support expense management, budget tracking, and other basic accounting tasks. **Operational support** * **Process tracking:** Assist in monitoring key operational performance metrics and preparing related reports. * **Process improvement:** Collaborate in identifying and proposing improvements for procedures and operational efficiency. * **Team management:** Ensure the operational team meets deadlines and maintains good communication with clients and partners. **Quality management support** * **Inspection and verification:** Support product or process inspections to ensure compliance with required standards and specifications. * **Document control:** Help maintain organized and up-to-date quality management system documentation. * **Non-conformities:** Participate in identifying non-conformities and assist in implementing corrective and preventive actions. * Develop and disseminate procedures, instructions, records, and manuals as required by Management. * **Audits:** Collaborate in the preparation and coordination of internal or external audits. * **Continuous improvement:** Contribute to continuous quality process improvement initiatives.
