




**Job Profile: Executive Assistant** **Department:** Executive Office **Location:** Corporate office and field (store visits) **Position Type:** On-site – Full-time **Schedule:** Full-time schedule, respecting the maximum legal working hours and rest periods established in the Federal Labor Law. **Position Objective** Provide strategic, operational, and administrative support to the Executive Office, ensuring efficient management of the executive’s calendar, communications, activity coordination, information confidentiality, and follow-up on agreements with internal and external departments. **Key Responsibilities** **Administrative and Executive Management** * Manage the General Director’s calendar, prioritizing activities and commitments. * Coordinate meetings, presentations, videoconferences, and executive events. * Prepare, organize, and safeguard confidential documents, reports, and correspondence. * Manage travel allowances, expense reports, and travel logistics. * Maintain physical and digital filing systems for the department. **Coordination and Communication** * Serve as the liaison between the Executive Office and internal departments. * Handle communications with partners, suppliers, customers, and key personnel. * Draft emails, announcements, meeting minutes, and summaries. * Ensure timely follow-up on agreements and commitments arising from meetings. **Strategic Support** * Assist in preparing executive presentations and reports for board meetings. * Consolidate information requested from departments for the General Director’s analysis. * Monitor progress of strategic projects assigned by the Executive Office. **Confidentiality and Control** * Guarantee absolute confidentiality of sensitive information. * Handle documentation with discretion and professional ethics. * Promptly report risks or delays in critical agreements or projects. **Performance Indicators (KPIs)** * Calendar adherence and optimization without overlaps or delays. Timely follow-up and closure of agreements (*95% on time). * Accuracy and quality of executive presentations and reports. * General Director’s satisfaction level with the support provided. Response time for key communications (*24 hours). * Zero incidents of confidential information leakage or mishandling. **Requirements** **Education** Completed Bachelor’s degree in Administration, Communications, Business, Public Relations, or related field (preferred) **Experience** 2–4 years in executive assistant, director-level, or senior management staff roles. **Desirable Knowledge** Project management VIP customer service Event logistics Intermediate or advanced English **Other** Flexible schedule and willingness to work in the field.
