As the global plant-based food movement accelerates, we are seeking a dynamic **Office Management Analyst** to join our outstanding team and help build Mexico’s next unicorn. **The Role** This position ensures the efficient, orderly, and welcoming operation of our office. It plays a key role in creating a safe, productive, and pleasant work environment by coordinating vendors, spaces, administrative processes, legal compliance, and logistical support for various teams. **Responsibilities** **General Maintenance:** * Oversee and coordinate preventive and corrective maintenance tasks for the building. * Ensure proper functioning of electrical systems, plumbing, HVAC (heating, ventilation, and air conditioning), and other essential systems. * Coordinate and schedule cleaning, repair, and preventive maintenance services. * Supervise and manage general facility maintenance, including buildings, offices, workspaces, and common areas. * Coordinate cleaning staff activities (daily review of activity logs). * Coordinate visits for refrigerator inspections and/or maintenance (corporate and production plant). **Vendor and Contractor Management:** * Negotiate contract terms, and coordinate and supervise external vendors and contractors for repairs, improvements, and maintenance services. * Negotiate service contracts and agreements, ensuring quality and adherence to agreed timelines. * Evaluate vendor performance and ensure compliance with agreed standards. * Vendor hiring and follow-up (landscaping, facilities, maintenance, etc.). **Building Security:** * Implement and supervise security measures to protect employees and facilities. * Conduct regular safety inspections and coordinate emergency evacuation drills. * Train and manage security personnel services. * Provide safety guidelines training. * Supervise daily logs and attendance lists. * Ensure security guards are present at all facilities. * Ensure security personnel perform their duties correctly. * Manage access to corporate premises (pedestrian and parking card control). * Request, pay for, and deliver plant access tags (requesting, managing payment, and signing for delivery). **Space Management:** * Plan and coordinate the distribution and efficient use of spaces within the building. * Supervise internal relocations and office reassignments as needed. * Collaborate with other departments to ensure a comfortable and productive work environment. * Schedule water filter maintenance (corporate and production plant). * Pay general services (R&D). * Coordinate shared parking space assignments. * Assign workspaces (both locations). **Inventory Control:** * Monitor and maintain inventory of supplies and equipment required for building maintenance and operations. * Ensure proper storage and availability of essential materials. * Coordinate procurement and maintenance of furniture, office equipment, and other resources. **Budget and Financial Management:** * Prepare and manage the building maintenance and operations budget. * Monitor expenses and identify opportunities to optimize costs without compromising service quality. * Record and track expenses, issue invoices, post expenses in AT, register expense categories. * Schedule vendor payments in AT (staff transportation, meals, laundry, medical services, security guards, events, consulting, English classes, recruitment, corporate and R&D office rentals, parking, time clocks, etc.). * Manage petty cash. **Regulatory Compliance:** * Ensure the building complies with all local, state, and federal regulations and standards. * Stay updated on changes in laws and regulations that may affect building operations. **Communication and Coordination:** * Serve as the primary point of contact for employees regarding facility-related matters. * Coordinate with other departments to align facility needs with company operations. **Documentation and Reporting:** * Maintain detailed records of all maintenance, repair, and service activities. * Prepare periodic reports on building status and maintenance activities for management. **Sustainability and Energy Efficiency:** * Implement and promote sustainability practices to reduce energy and resource consumption. * Identify opportunities to improve building energy efficiency. **Landscaping Maintenance:** * Supervise and coordinate landscaping, green area, and grounds maintenance around the building. * Ensure appropriate irrigation, pruning, fertilization, and pest control for green areas. * Coordinate with external vendors for specialized landscaping services when necessary. * Maintain gardens and green areas in optimal condition, contributing to workplace aesthetics and well-being. **Kitchen and Common Area Supplies Management:** * Supervise and ensure regular supply of kitchen consumables and food items in common areas. * Manage inventory of supplies, including coffee, tea, beverages, snacks, and other food items. * Coordinate with vendors for purchase and delivery of required supplies. * Maintain clean and well-stocked kitchens and break areas for employee and visitor use. **Reception Support:** * As a receptionist, you are often the first point of contact for customers, vendors, and other visitors. * Answering telephone calls courteously and professionally is essential. * Maintain up-to-date records of visitors, appointments, and other important events. * Provide basic administrative support, such as photocopying, scanning, sending announcements, and performing other tasks as needed. * Receive and deliver packages. * Assist vendors and visitors. * Meal tracking (supervise records and compile logs). * Purchase and manage water jugs (ensure adequate stock). * Schedule meetings and assign meeting rooms. * Manage locker supervision. * Send weekly menu (Mondays). * Assign and manage staff lockers (handle onboarding/offboarding, assign lockers). **Requirements** **Professional Experience** * Completed bachelor’s degree. * More than one year of experience in similar roles.
