The Accounting Assistant is responsible for performing administrative and support tasks, ensuring proper document management, tracking of administrative processes, and efficient organization of information, aligned with the organization's operational and strategic needs. **Main Responsibilities:** * Prepare quotations for projects or internal company requirements. * Maintain organized records of quotations issued and track them until approval. * Maintain detailed control of internal and external document numbers, ensuring traceability. * Track and record organizational or assigned project expenses, verifying correct budgetary allocation. * Organize and compile documents required for project files, contracts, or internal procedures. * Prepare physical or digital folders according to established standards, ensuring availability and up-to-dateness. * Issue electronic invoices in accordance with established standards. * Track and record supplies acquired by budget line. * Print documents required for meetings, procedures, or files. * Classify, archive, and keep physical and electronic documents updated, ensuring accessibility and confidentiality. * Support the organization and management of administrative activities related to the assigned department or project. * Conduct tax exercises and financial analyses for respective strategies. * Participate in meetings to update the status of files or processes under their responsibility. **Skills and Competencies:** * Strong ability to maintain detailed and organized records. * Ability to ensure process continuity and task completion. * Knowledge of managing physical and digital files. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook). * Skills to maintain clear and professional communication with other departments or suppliers. Bachelor’s degree in Accounting or a related field. **Requirements:** * Prior experience in administrative or similar tasks. * Preparation of tenders. * Minimum 3–5 years of experience in a similar role. (Preference for construction industry) * Experience with Excel macros. * Familiarity with technological tools and file management systems. * Proactive attitude and attention to detail.
