We are seeking a highly organized and proactive Construction Administrative Assistant to provide comprehensive support in project documentation, financial, logistics, and administrative management. 1. Documentation and Construction Management Control and archiving of drawings, contracts, change orders, technical specifications, and construction schedules. Subcontractor documentation management: requesting and verifying insurance, safety compliance, and social security registration prior to site entry. Control and recordkeeping of physical and electronic correspondence. Support in preparing daily reports and construction progress reports. 2. Financial Administration and Cost Control Tracking of actual costs versus approved budget. Receiving, reviewing, coding, and processing supplier and subcontractor invoices. Petty cash administration (minor payments, cash counts, and reconciliations). Support in preparing construction certifications and client invoicing. Issuance and tracking of purchase orders. 3. Logistics and Procurement (Operational Support) Managing material requisitions from field engineering. Requesting quotations, coordinating with suppliers, and tracking on-site deliveries. Documentation control for owned or rented machinery (insurance, maintenance, fuel). 4. Human Resources and Safety Attendance control and personnel registration on site. Preparing payroll-related information. Verification of compliance with Occupational Health and Safety (OH&S) regulations. Supervising that personnel have appropriate personal protective equipment (PPE) and valid documentation. 5. General Administrative Support Professional communication with clients and suppliers (phone calls and emails). Organizing and coordinating site meetings, including preparation of meeting minutes. Inventory management and procurement of office supplies for the site office. Required Tools and Skills Software: Proficiency in MS Office (Intermediate Excel is essential). Experience with construction software such as Procore, Opus, Neodata, or TimberScan is desirable. Competencies: High level of organization and attention to detail. Effective communication skills.
