




**Job Profile: Academic Secretariat Institution:** Realia University Institute for Culture and the Arts **Area:** Academic – School Administration **General Purpose of the Position** Coordinate, supervise, and strengthen the institution’s academic processes, ensuring compliance with educational regulations, academic quality of programs, and effective support for faculty and students. Contribute to the institutional strategy through planning, monitoring, and continuous improvement of educational services. **Main Functions and Responsibilities 1. Academic Planning and Management** * Coordinate semester- and annual-level academic planning for undergraduate and graduate programs. * Supervise the development and updating of study plans and curricula in accordance with RVOE (Official Recognition of Validity) and current regulations. * Verify timely adherence to the academic calendar and proper delivery of courses. * Establish operational guidelines for classes, assessments, academic advising, tutoring, and academic monitoring. **2. School Administration and Regulatory Compliance** * Supervise school administration processes: enrollments, re-enrollments, assessments, minutes, certificates, degrees, and student files. * Ensure accurate documentation management with SEV (State Education Authority), SEP (Secretariat of Public Education), and other regulatory bodies. * Monitor academic audits and ensure compliance with quality standards and educational regulations. **3. Faculty Management** * Coordinate faculty selection, hiring, and performance follow-up. * Supervise compliance with teaching loads, attendance, submission of assessments, and institutional guidelines. * Support and enhance faculty performance through feedback and continuous improvement processes. **4. Student Support** * Supervise student orientation, tutoring, academic advising, and academic monitoring processes. * Provide timely and appropriate responses to requests, incidents, and special academic situations. * Ensure clear and consistent communication with students across all programs. **5. Support for Academic Promotion and Outreach** * Collaborate with the Communications Department on promotion strategies for undergraduate and graduate programs. * Participate in outreach activities with other educational institutions to strengthen student recruitment. * Support the organization of academic events, conferences, cultural activities, and institutional ceremonies. **Position Competencies** * Collaborative leadership * Project organization and management * Effective communication * Problem-solving ability * Regulatory knowledge (SEP/SEV) * Strategic thinking and results orientation * Respectful, empathetic, and professional interaction with faculty and students **Required Profile** **Education:** Bachelor’s degree in Education, Educational Management, Pedagogy, or related fields (completed or in progress). **Desired experience:** 1–2 years in educational institutions, performing school administration, student services, or academic management functions. **Position Conditions** * **Schedule:** Monday–Friday, 9:00 a.m.–3:00 p.m. and 4:00–8:00 p.m.; Saturdays, 10:00 a.m.–2:00 p.m. * **Work modality:** On-site (at Realia University Institute facilities). * **Monthly salary:** Based on qualifications. **Performance Indicators** * Accuracy and timeliness in recording school-related information. * Adherence to administrative deadlines and reporting requirements. * User satisfaction (students and faculty). * Maintenance of up-to-date student files and databases. * Active participation in area improvement initiatives.
