As we continue to grow, we’re looking for a Business \& Personal Operations Manager to help strengthen and elevate our operations. **Salary:** $1,500 \- $2,000 USD (monthly) **Key Responsibilities:** 1\. Systems \& Operations Management * Maintain, organize, and continuously optimize operational systems such as Asana, Airtable, SOPs, and internal dashboards. * Build and document clear workflows that support team coordination and efficient execution. * Identify gaps and implement process improvements that streamline operations and reduce bottlenecks. 2\. Journal \& Product Management * Co\-develop strategy and planning for The Vitality Architecture Journal and support the content roadmap. * Manage the content pipeline, editorial calendar, and key SEO initiatives to support traffic and subscription growth. * Coordinate and execute seasonal campaigns for The Journal and The Magic Mastermind, including assets, timelines, and team deliverables. * Support enrollment, retention, and overall experience for both offerings. 3\. Partnerships \& Collaborations * Research, evaluate, and initiate potential collaboration opportunities aligned with the brand. * Manage the full partnership lifecycle, including outreach, communication, follow\-up, and activation. * Maintain a structured partnership pipeline and track engagement, performance, and audience growth impact. 4\. Creative Quality Control \& Brand Alignment * Review creative assets across platforms to ensure brand voice, messaging, and visual identity remain consistent. * Oversee content calendar execution across the creative team and ensure deadlines, deliverables, and quality standards are met. * Monitor engagement metrics (email, social, campaigns) and support continual improvement of creative performance. * Coordinate website updates to ensure accurate brand representation and effective conversion flows. 5\. Financial Operations \& Reporting * Lead financial tracking across all business lines and maintain weekly revenue, expense, and KPI reports. * Manage forecasting, budget updates, and dashboards in collaboration with the fractional CFO. * Analyze performance trends and provide actionable insights that guide decisions around content, partnerships, and product development. **Skills:** * Strong writing skills with the ability to craft clear, compelling content * Ability to learn, maintain, and elevate a refined brand voice, and coach others to write within it * Experience directing designers, writers, and web collaborators with clear creative guidance * Comfortable overseeing content across Web, Instagram, LinkedIn, Substack, and email * Ability to map and manage multi\-platform content plans and timelines * Basic ability to track and interpret content performance metrics * Strong design sensibility, good eye for layout, visual consistency, and storytelling through design * Highly organized, able to manage multiple projects, drafts, and deliverables at once * Clear, proactive communicator who collaborates smoothly in remote teams * Calm, grounded, and able to problem\-solve in fast\-moving creative environments * Proficiency with **Asana**, Google Drive/Docs, Dropbox, FloDesk, LinkedIn, Substack, and Instagram * Familiarity with wellness, lifestyle, or human\-centered brands (preferred) **Qualifications:** * Bachelor’s degree in Business Administration, Operations Management, or a related field. * **3–5\+ years** in operations, project management, or executive assistant roles (supporting executives or founders preferred) * Experience coordinating cross\-functional teams * Experience within creative, wellness, boutique, or design\-forward companies is a plus * Advanced English (written and spoken) required. * High\-speed wired internet connection (200 mbps min.) * Windows 10/11 or Mac (4 GB RAM, Intel i5 or similar) **Setting: 100%** Remote **Schedule:** Monday to Friday \- 9:00 am to 6:00 pm (Mountain Time) Job Type: Full\-time Education: * Bachelor's (Required) Experience: * operations: 3 years (Required) Language: * advanced English (Required) Work Location: Remote
