




Position Title: Spare Parts Storeroom Coordinator Reports To: Senior Manager, Technical Assurance Department: Technical Location: Escobedo Plant, NL **Position Purpose:** * Responsible for managing, administering, and controlling all activities related to the spare parts storeroom and receipt of indirect materials; service must be provided 24/7. * Responsible for verifying, storing, and distributing materials and supplies destined for the spare parts storeroom. * Ensures follow-up and compliance with audits by consolidating and delivering corresponding reports as outcomes. * Responsible for managing spare parts master data entry and all inventory movement-related activities, as well as executing spare parts management routines aimed at ensuring optimal inventory availability levels and operational cost efficiency. * Responsible for administering the financial aspects of maintenance. * Complies with Good Manufacturing Practices (GMPs) to ensure product safety and quality. Knows, complies with, and maintains applicable Safety, Health, and Environmental requirements for this position. **Key Processes:** Spare Parts Storeroom Management and Handling (70%) * Manages and administers human resources under supervision to maintain 24/7 service. * Maintains material inventory without stockouts (accuracy), ensuring this through reviews/audits requested by Finance or any corporate entity. * Administers/validates/audits documentation and transactions used in the area. Responds to various audit requests, such as SOX, Finance, cycle counts, etc. * Complies with and enforces policies and procedures regarding control, administration, reporting, and auditing of the spare parts storeroom. * Controls documentation for recording consumption related to imported spare parts, submitting concrete reports to the Finance Department, Import/Export, and ensuring processes comply with applicable standards. * Provides support to Procurement/Finance/Maintenance in inventory-related operations (system reordering changes, adjustments, obsolescence). * Manages and administers the storeroom cost center budget; must engage with consumption owners upon detecting excessive consumption to investigate root causes. * Similarly responsible for alerting low material consumption and slow-moving items. * Safeguards the storeroom’s total value, reporting value increases from new master data entries and ensuring inventories are appropriately managed in collaboration with users. * Resolves or clarifies any discrepancies concerning quantity or quality of spare parts in the storeroom or upon receipt. * Conducts reviews with Reliability Leaders (RLs) and Maintenance Planners to adjust maximum/minimum stock levels, avoiding operational stoppage risks and maintaining appropriate turnover. * Manages follow-up on maintenance’s execution of reservations. * Ensures acquisition of technical component information required for machinery operation. * Directly responsible for compliance with PM pillar requirements. * Tracks obsolete materials and coordinates with Procurement Department for PO follow-up. 30% * Requests and captures reporting data to ensure registration/update of metrics/databases in the scorecard report, enabling the maintenance team to monitor metric performance results. * Responsible for managing the maintenance expense platform, updating it daily so leaders (Manager and RLs) have real-time financial information for sound decision-making. * Provides support/training to direct reports on administrative and management systems (SAP, DataPass, Windows, Office). * Ensures appropriate inventory levels relative to equipment, coordinating with RLs; minimum one review per year. * Ensures spare parts master data entries are approved by Corporate, validating plants and all Finance requirements. * Conducts Q audits to validate spare parts usage (slow-moving analysis). * Ensures career development plans and training for personnel within their organizational structure. * Manages and is responsible for generating the list of spare parts from replaced equipment for retirement—approved by Finance—and coordinates with the spare parts storeroom for disposal. * Analyzes or supervises daily MRP report tracking. * Responsible for maintaining 5S compliance in storerooms under their supervision. **Position Challenges:** * As part of effective administration, must drive digitalization and more robust controls. * Improve spare parts utilization (address slow-moving items). * Challenge lies in achieving effective and agile communication between Maintenance and Procurement. * Must act proactively and predictively—not merely as an executor. * Ensure spare parts master data entries correspond to high-turnover items; otherwise, must report to proceed with PD entries. * Challenge involves retiring spare parts related to equipment replaced via CAPEX, expense, or audit requirements. * Efficiently manage spare parts replacement due to obsolescence. * Ensure correct SAP4 implementation. **Skills and Knowledge:** * Advanced SAP Super User knowledge. * Conversational English (B2 and/or 70%). * Budget administration, finance, and asset control. * Advanced Excel proficiency; Power BI desirable. * Intermediate-level finance knowledge. * Warehouse management expertise. * Competencies: Leadership, Communication, Proactivity, Extroversion, Strong Sense of Urgency, Personnel Management Skills, Strategic Mindset. **Education:** * Bachelor’s degree; Mechanical Engineering preferred. * Leadership and personnel management diplomas or courses preferred. **Experience:** 5+ years in Warehousing and Inventory Control #LI-JS1 #LI-Onsite
