




Job Summary: Administrative Manager for a leading wedding planning company, responsible for accounting, tax, and administrative management. Key Highlights: 1. Administrative Manager for a leading wedding planning company. PRIMARY RESPONSIBILITIES: * Handle the company's accounting and tax invoicing to clients. * Review team workpapers at the end of each month. * Prepare workpapers for internal and external audits. * Submit tax documents and reports to the external accountant. * Support payroll processing, resolve queries, and clarify accounting criteria. * Assist with reviews requested by SAT, IMSS, INFONAVIT, and state revenue authorities—including clarifications or audits conducted virtually, desk-based, or in person. * Send proforma invoices to company clients for billing purposes. * Ensure timely generation of payment receipts. * Apply client payments to corresponding accounting accounts. * Record purchase invoices for equipment and assets into the accounting system. * Perform monthly cleanup of accounting accounts to maintain healthy accounting records. * Review foreign exchange rates for USD transactions. * Review uncollectible accounts for reporting to the Board of Directors and conduct weekly follow-up with sales teams for collection management. * Apply provisional tax payments for companies and individuals who are equity holders. * Keep the company’s various tax payments up to date. * Generate intercompany invoices or collections. * Record liabilities for all domestic and import purchases from suppliers. * Pay monthly all required services across different locations (electricity, rent, internet, etc.). * Calculate payroll-related taxes. * Perform monthly reconciliations among payroll, Nomipaq, SAT, and accounting systems. * Coordinate with external audit firms, including provision of workpapers. * Supervise timely filing of annual tax returns. * Supervise bank reconciliations. * Review VAT withholding classifications. * Conduct selective VAT testing. * Manage fixed assets and depreciation. * Participate in calculating the annual inflation adjustment, CUFIN, and CUCA together with the external accounting firm. * Verify at each month-end that bank reconciliations, DIOT, and VAT calculations are completed. * Reconcile accounting invoicing against SAT reconciliation. * Maintain sequential invoice tracking per client. * Present to the Board of Directors: accounts receivable statements, financial statements, tax status, and other corporate obligations. * Submit weekly and monthly cash flow projections to the Board of Directors to ensure healthy company operations. * Implement required internal control methods to safeguard assets, processes, policies, and administrative programs.
