Job Summary:
Provide administrative and documentary support to the machinery department, controlling reports, consumption, maintenance, and inventories to ensure effective equipment management and availability.

**Job Objective:**
Provide administrative and documentary support to the machinery department, ensuring proper control of reports, consumption, maintenance, inventories, and operational documentation, thereby contributing to effective equipment management and availability.
**Responsibilities:**
* Record and validate daily machinery reports (hours worked, transfers, failures).
* Register fuel, lubricant, spare parts, and maintenance consumption.
* Control and update inventories of tools, spare parts, and equipment.
* Prepare work orders for preventive and corrective maintenance.
* Track scheduled services and notify upcoming expirations.
* **Maintain machinery files**: insurance policies, invoices, insurance certificates, mechanical history.
* Support documentary logistics for machinery relocation or rental.
* Organize and archive operator documentation, checklists, and logbooks.
* Assist in preparing weekly and monthly departmental reports.
* Request quotations for spare parts and mechanical services (if applicable).
* Maintain constant communication with construction sites regarding administrative machinery requirements.
* Support billing, requisition, and procurement processes.
**Knowledge Requirements:**
* Proficiency in Excel (tables, filters, basic formulas).
* Administrative control and documentation handling.
* ***Experience in purchasing heavy machinery.***
* Inventory registration and control.
* Operational reporting.
* Use of administrative systems (preferred)
**Education:**
Civil Engineering or related field; degree holders.
