***Requirements***
\- Minimum 1 year of experience as an administrative assistant or similar role.
\- Education: Bachelor’s degree in Administration, Psychology, Pedagogy, Computer Science, or related fields.
\- **Excel** proficiency: Intermediate; advanced use of data correspondence via Excel database.
\- **Word** proficiency: Excellent; header and footer editing.
\- Database handling, data entry, document upload, and Drive usage.
\- Proficiency with editors such as **Nitro** or similar tools for document modification and correction.
\- Solid understanding of basic letter-size printing formats.
\- Eagerness and enthusiasm for continuous learning and improvement. Strong organizational and prioritization skills.
\- Basic knowledge of **invoicing documentation** and related terminology.
***Responsibilities***
Create and edit digital and physical documentation for deliveries, maintain records, and report status to direct supervisor.
Maintain communication channels between this department and other departments within the company.
Create backups of all processed information.
Provide administrative support including: email follow-up, formal email replies, and drafting official letters (digital and physical).
Review, upload, and register supply orders. Draft correspondence and letters. Review delivery notes, penalties, settlement documents, and general documentation. Track each reviewed and analyzed topic.
Organize and store information appropriately using the system operated by the department. Transmit departmental information to other departments. Manage documents.
Input and track delivery planning. Request and deliver samples for shipment to institutions. Monitor pending and completed requests. Request invoices by completing a form sent to the Accounting Department. Maintain up-to-date departmental reports.
Strong attention to detail and meticulousness. This department requires individuals who can remain focused on their tasks and responsibilities despite distractions, demonstrating high accountability, integrity, and problem-solving ability.
