You will serve as the single point of contact to coordinate vehicle procurement, disposal, registration, and deregistration, ensuring compliance with corporate policies and accurate integration of information into corporate systems. What does your day-to-day look like? Contact automotive dealerships to request quotations for new vehicles and follow up on the order process until delivery Create purchase orders in the ERP system (SAP or others) and prepare administrative forms for purchase authorization requests Coordinate physical vehicle deliveries at company facilities and manage off-site deliveries with transportation providers Manage the sale process of used vehicles, submitting proposals per corporate policies and collecting required documentation for invoicing Register and deregister vehicles in the fixed assets system and update vehicle information in corporate databases Maintain complete document management, completing standardized forms, collecting signatures and approvals, and keeping an organized filing system Serve as the administrative liaison among vehicle users, automotive dealerships, external vendors, and internal departments (Finance, Procurement, Facility Management) Prepare monthly fleet management reports with dashboards showing active vehicles, tracking of pending transactions, and performance indicators Extract fleet tracking reports from the system and maintain up-to-date vehicle inventory records Proactively escalate situations requiring client attention or decision-making, coordinating schedules and tracking deliveries and administrative processes Desired Experience and Technical Skills Bachelor’s degree in Administration, Logistics, Industrial Engineering, or related fields (Required) Minimum 3 years of experience in vehicle fleet administration, facility management, or complex administrative processes (Required) Proven experience using ERP systems (SAP, Oracle, Microsoft Dynamics, or others) (Required) Experience in document management and coordination with multiple stakeholders (Required) Prior experience in pharmaceutical companies, medical device firms, or multinational corporations (Preferred) Knowledge of Car Allowance policies and vehicle assignment practices (Preferred) Postgraduate degree or certifications in Facility Management, Fleet Administration, or Supply Chain (Preferred) If this job description resonates with you, we encourage you to apply.
