CIMMYT is seeking a dynamic, autonomous, and service-oriented individual for the position of Administrative Assistant to work in the Operations Unit’s Facilities Division. The position is located at CIMMYT’s campus in Texcoco, State of Mexico, situated 45 km northeast of Mexico City, Mexico. **Key Responsibilities:** * Process purchase requisitions, warehouse material withdrawal journals, catering requests, expense reimbursements, overtime requests, and Sunday premium pay requests. * Process utility journals (gas, electricity), collect and analyze related information, and follow up until payment is completed. * Download time clock records and prepare weekly staff incident control reports. * Route Facilities/Maintenance service tickets submitted by various center departments and programs, track them to closure, and generate monthly ticket and satisfaction survey reports. * Maintain records of uniform distribution and maintenance staff licenses. * Digitize Facilities/Maintenance files (e.g., suppliers, case files, logbooks). * Maintain a filing system tracking the procurement process for Facilities/Maintenance materials, equipment, and services. * Periodically update Facilities information in INSIDE. * Provide required administrative support to maintenance technical staff. * Prepare special reports. * Perform other duties as assigned by the supervisor. **Requirements** * Candidates must hold a bachelor’s degree in Administration, Business, or a related field. * Minimum one year of relevant experience in a similar position is required. * Proficiency in English is an advantage. * Strong command of Microsoft Office and preferably the DYNAMICS system is required. * Excellent interpersonal and communication skills, with fluency in team collaboration, are essential. * Ability to understand complex issues.
