**Job Description:** We are seeking a detail-oriented, results-driven Administrator to supervise the operations of rental departments, ongoing construction projects, and administrative management of new business ventures. The ideal candidate will be responsible for financial transparency, personnel management, and operational efficiency.
**Key Responsibilities:**
1\. Financial Management and Income/Expense Control:
Collections and Verification: Manage rent collection, issuance of receipts, and signing of counter-receipts.
Financial Reporting: Prepare monthly income and expense reports (inflows/outflows), duly supported by invoices and notes.
Service Audits: Review electricity consumption in vacant units and authorize special expenses or discounts.
Procurement Management: Review and approve quotations for materials and labor (outsourcing); manage procurement of supplies.
2\. Operations and Maintenance Supervision:
Inventory Control: Update inventories of furniture, tools, and storage areas; conduct damage assessments in common areas and vacant units.
Construction Inspection: Monitor construction progress through coordinator reports, video inspections, and on-site visits to evaluate quality, order, cleanliness, and proper use of materials.
Legal Documentation: Review and update tenant agreements (new and existing), employment contracts, and commercial contracts.
3\. Human Capital Management:
Attendance Control: Supervise time clock systems and manage biweekly payroll processing.
Performance Evaluation: Assess daily worker performance and review task completion reports (via video and logbooks).
Recruitment: Participate in personnel selection, conduct _preliminary interviews_, and supervise practical evaluations of new employees.
4\. Business Intelligence and Growth:
Market Analysis: Conduct zone pricing research every six months to update rents and analyze options for acquiring new properties.
Supplier Relations: Negotiate with manufacturers and suppliers for products under concession agreements.
Public Relations: Coordinate monthly social assistance missions through the foundation to strengthen corporate image.
5\. Administrative Control and Security:
Communication Audit: Review customer service records on Facebook, WhatsApp, Messenger, and phone calls to ensure service quality.
Security: Conduct physical site inspections to prevent trespassing and manage annual lock combination changes or rekeying upon staff turnover.
Previous experience in real estate administration or construction supervision.
Negotiation skills and budget management capabilities.
Analytical ability and attention to detail (document auditing).
Proficiency with digital tools (WhatsApp Business, Facebook Ads, Internet).
