





**Job Objective** To provide efficient and professional service to customers, suppliers, and visitors, as well as support day-to-day administrative and operational tasks that ensure the smooth operation of the office and proper follow-up of internal processes. **General Responsibilities** · Answering and routing phone calls and emails. · Greeting customers, suppliers, and in-person visitors courteously. · Providing basic company information and directing individuals to the appropriate staff. · Recording entries and exits of employees and external persons. · Organizing and archiving physical and digital documentation. · Assisting in the preparation of reports and meeting minutes. · Managing paperwork, office supplies, and inventory. · Supporting logistics for internal meetings and events. · Coordinating with couriers, shipping services, and vendors. · Data entry and updating databases or CRM systems. **Administrative Support and Service** · Handling telephone calls, emails, and internal messages. · Receiving and attending to visitors, customers, or suppliers. · Managing internal and external correspondence. **Document Management** · Filing physical and digital documents in an organized and secure manner. · Drafting official letters, correspondence, reports, and other administrative documents. · Digitizing, scanning, and organizing files. **Basic Accounting Support** · Recording invoices, payment receipts, and expense notes. · Monitoring pending payments, collections, and simple petty cash transactions. · Assisting in expense reconciliation for projects or departments. **Schedule and Logistics Management** · Scheduling internal or external meetings. · Reserving rooms, equipment, or spaces required for events or meetings. · Assisting in organizing travel or transportation (tickets, accommodations, etc.). **Purchasing and Supplies Support** · Requesting quotes and comparing prices with suppliers. · Managing purchases of stationery, supplies, and office materials. · Maintaining basic inventory of office supplies. **Internal Process Follow-Up** · Assisting in the creation and updating of databases. · Following up on administrative tasks assigned by management or partners. · Supporting compliance with internal procedures and company policies. **Knowledge and Skills** * Proficiency in Office (Excel, Word, Outlook, PowerPoint). * Basic knowledge of invoicing and administrative filing. * Excellent spelling and writing skills. * Strong verbal and written communication. * Organization and time management. * Discretion and confidentiality. * Customer service attitude and proactiveness. * Experience with Office suite (Word, Excel, Outlook, PowerPoint). * Use of corporate email. * Basic knowledge of document filing and digitization. * Basic knowledge of accounting and invoicing. **Soft Skills** · Organization and orderliness. · Clear and professional communication. · Friendly demeanor and customer service (internal/external). · Confidentiality and professional ethics. · Proactivity and willingness to learn. · Teamwork and positive attitude. **Requirements** * Minimum education: Completed high school (Administrative Technician preferred). * Desired: Technical degree or completed/partial bachelor’s degree in administrative, accounting, or related fields. * Minimum one year of experience in similar positions. * Age: 22–35 years (preferred).
